Service Portal Overhaul

THE CHALLENGE

The Company's Service Portal (called “BSS”) project aims to have a clean and modern looking portal which is also accessible to mobile gadgets for the convenience of the employees.

SOME OF THE RECIEVED FEEDBACK...

We sent out a quick survey for the employees situated in the Manila office, and we received some feedback about the past portal design. Most of them feel as if they're using a legacy system. The icons are overwhelming. They don't know what to click. It's not displaying on their phone, and etc.

SOLVING THE PROBLEM

Since we already have our feedback, we grouped them together per feature and saw the common themes people experience when used the BSS.

After grouping them together, we iterated solutions until we ot ideas for the final design.

ACTIONS TAKEN

The brandbook was revisited in order to check the color guidelines. It was decided to use the shade #383a37 as Heading and Navigation background colors. The #84bd00 color which is also part of the brand will only be used as an accent to highlight. Better contrasting text over background will avoid eye fatigue as one of the respondents called out the colors tiring their eyes. From the former design, the title headings all use white text over #84bd00 background which may look very overwhelming because of the bright splash of colors.

For the portal to be mobile friendly, the horizontal header navigation was changed into a collapsible side menu. The icons inside the repetitive category boxes were removed and was categorized better into the new navigation in order to remove clutter.

THE RESULTS

The new portal is now responsive and will give better accessibility to those who would like to access their information or work on the go.

Instead of the previous "display everything in one go" portal, we have only displayed suggested categories and topics which are mostly visited by the employees. This will be more straightforward as the main reason for going to the portal most of the time is either checking for company updates, requesting hardware or equipment, and viewing the knowledge base for help. Other categories can be found on the new menu.
